There is so much that goes into picking the perfect venue. It’s probably one of the most important and time consuming tasks. Your theme, guest count, and budget need to all be taken into consideration when picking the venue. An ocean view, a rustic farm, or an elegant vineyard all sound like appealing places, but if they don’t fit with your theme it’s like trying to fit a square peg in a round hole. Your theme, if there is one, needs to be decided early on, usually before the venue is picked so that your exterior surroundings can more easily correspond with your décor.
Having a rough idea of how many guests will be attending your event will allow you to rule out venues without having to go look at them in person because size requirements are sometimes listed online. Overestimating a bit can help you pick a venue that is just the right size – remember to count the plus ones! Also finding out whether the venue is full service or not could affect your budget. A full service venue will usually offer their clients anything from tables and rental chairs, to linens, caterers and catering supplies. A non-full service venue will usually only provide you the space. It’s up to you, or your planner, to actually put it to good use.
Once you’ve ruled out the venues that do not meet your needs, visit the venues that do fit so you can see the atmosphere, the lighting, and get an overall feel for the space. Make sure you ask plenty of questions; What other events are booked on that day? How many events are held on a typical day? Will there be any major changes to the venue between now and then? Are there noise restrictions? How many parking spaces are available for guests?
The venue is a big part of what will make your event GRAND, so be sure to take your time making your decision. Try not to feel rushed and take into consideration everything that was mentioned above when looking for the perfect place to hold your event.
